Terms and Conditions

Terms and Conditions

As we only have 10 camping pitches, we limit the number of people on site at any one time and therefore ensure that we don’t overload our facilities.
These are our terms and conditions of booking. By paying a deposit, or full payment, you accept the following:

Membership to the Greener Camping Club (GCC):

Note: The Green Camping Club (GCC) membership fee is non-refundable in the event of cancellation, or for any other reason, as the membership fee goes to the Club and not to Green Sheep Camping.

Admission:

Admission onto the pitches is only permitted after camping guests have registered their presence with the owners of Green Sheep Camping.  At least one of the party members must be aged 18 or over; under 18s must be accompanied by their parents or their legal guardians.

Bookings:

Bookings are nominative and non-transferable. Please note for those wishing to have friends or extended family join them, that each family is required to fill in and treat the reservation as a new and separate booking.  Bookings can’t be for more than 14 consecutive nights unless agreed by the owners. Discount cards and gift vouchers cannot be applied to bookings made via Pitchup.com.

Arrival and departures:

There are lots of jobs that we need to do in between departures and arrivals to ensure your holiday is the best we can achieve for you. These include tidying up the pitches, mowing grass and not least, cleaning and preparing the pitches ready for our next guests.  To this end, please help us by sticking to the arrival and departure times.

On arrival day:

When you arrive, please call the following mobile number 07818 -201769 if we are not around to greet you. The camping pitches and other facilities are available from 2pm and you must arrive before 8.00 pm so as not to disrupt other guests. Please let us know if you are delayed for any reason so we can make arrangements.  Your booking will be held for 24 hours. After this period the management reserves the right to re-let your unit.

On departure day:

Please vacate your pitch by 11am.

Payments:

We request a 50% conditionally-refundable deposit when booking a pitch at Green Sheep Camping. Receipt of the deposit secures your booking. The balance is requested four weeks prior to your arrival date (an email reminder will be sent). If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates – see below. For short lead-time bookings – ie. those booked less than 6 weeks before arrival, the full amount will be requested to secure the booking.

Cancellation by you:
If you cancel your holiday six weeks or more before your arrival date, we will refund your deposit less a £40 admin fee. The Greener Camping Club membership fee is not refundable. If you cancel your holiday less than six weeks before your arrival date and we are able to re-let your holiday for the dates you have booked, we will refund your deposit and balance, less a £40 admin fee. The Greener Camping Club membership fee is not refundable. In the event that we are unable to re-let your dates, no refund will be made. Bookings are not transferable to another family without our prior agreement in writing. If you are
concerned about the prospect of cancellation, please take out holiday insurance.

Cancellation by us:

Green Sheep Camping reserves the right to cancel a camping holiday at short notice if we are unable to provide a safe camping environment.  This may be due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances, your full payment will be returned to you. Green Sheep Camping cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. In this event you will be offered a postponement, if you keep your payment with us, or a refund of all monies less the £12 Greener Camping Club fee which is not refundable. We recommend you take out an adequate holiday insurance policy to cover all these eventualities.

Refunds/ discounts:

No refunds/discounts will be given for inclement weather, late arrivals or early departures. The site is not liable for any refund in the event of force majeure.

Sickness eg Covid-19:

If you have to cancel your camping holiday because you, or one of your booking members, is unwell, has a positive Covid test/symptoms, you have to self-isolate etc, then we will give you the following options.
1. Postpone your holiday to a later date, if you can, and leave your deposit or balance with us.  This helps us as a small business enormously.
2. Request a full refund so you will be refunded the amount less the £40 admin fee.

Children and safety:

There are many opportunities for play and adventure on our small holding. Our aim is for children to have a truly enriching experience of space and freedom. However, because we are a smallholding there are some risks of which you need to be aware. For example, we allow campfires and there is a stream on our land as well as 3 small ponds. In addition, we have sheep, chickens, guinea fowl and various activities that need to be done using a tractor and other machinery. Parents are responsible for the supervision of their children on site at all times. Guests are advised to bring a good quality torch with them as parts of the site are unlit.

Vehicles:

The speed limit while on the smallholding is 5 mph; be especially careful to keep to this speed limit when travelling up and down the track. With permission, cars can drive onto the tent pitch field to offload or onload kit at the beginning and end of your stay.  If we have periods of prolonged rain and on arrival or departure days the ground is considered to be too soft to drive on, please use the wheelbarrows and trolleys to transport your gear. For the rest of your stay, cars must be parked in the car park. Campervans, motorhomes and caravans are only permitted on allocated pitches.

Consideration for others:

This is a peaceful, quiet campsite for the enjoyment of nature. We do not allow generators, amplified music that can be heard off anybody’s pitch and only quiet talking is permitted after 10.30pm. We strongly encourage the playing of instruments at the campsite, but again please respect the need for quiet from 10.30pm onwards. Noisy visitors who persistently disturb other guests will be asked politely to leave, without refund. If you are out for the night and arrive back late, please consider other campers and if necessary park, temporarily, outside the communal barn to avoid disturbance. Please close car doors and boots quietly.

Antisocial behaviour:

We have a procedure for dealing with members who break the GCC or Green Sheep Camping site rules and these will be followed. Persistent offenders may be reported to the police or face a ban from the Greener Camping Club (GCC). The owners reserve the right to deny access or terminate the stay of those guests whose behaviour is deemed unsuitable. No refunds will be offered.

Day visitors:

Only permitted by prior agreement.

Recycling & rubbish:

A condition of camping here and at any GCC campsite, is that you separate; glass, cans, plastic, paper, cardboard, food waste etc. placing them in the special bins provided. What is left, ie. anything that is not recyclable, can be placed in the general waste bin.

Wildlife:

We really hope you get to see wildlife at our campsite.  Please be aware that animals, like foxes and badgers, will be looking for an easy feast and may try to raid your food stocks and bins. One or two simple precautions will help. Put your food in suitable, hard containers and your rubbish in the bins provided. Don’t leave food scraps lying around and make sure your tent is zipped up at bedtime.

Farm animals:

Please do not touch or feed our animals (chickens, guinea fowl, sheep or dog) unless invited to do so by the owners.

Property:

We cannot be held responsible for any lost or stolen property. We have never had an incidence of theft and we very much hope we never do.

Smoking policy:

All the communal, undercover facilities are strictly no smoking areas. Please dispose of cigarette ends in the campfire or general waste bin.

Campfires & firewood:

Please only use the designated campfire places and do not enlarge or alter the position of the designated campfire places. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy. Firewood can be bought onsite and we operate an honesty system for its purchase.

Toilets and showers:

Please note that the toilet/shower facilities are unisex.

Dog policy:

Trained assistance service dogs, who are working to support individuals, are always welcome and can camp free of charge.  In addition, for a  daily fee, a limited number of well-behaved, well-trained and well-supervised dogs can camp. However, it is essential that campers discuss with us and get approval in advance for dogs. Call Theri on 07818-201769. There are rules and restrictions for dogs which include them needing to be kept on a lead at all times and dog poo being picked up by the owner and placed in the disposal unit provided. If approval is given, campers with dogs will be pleased to know that we have a ‘dog field’ where dogs can be exercised off the lead.

Chemical toilet disposal:

If you bring a portable toilet and wish to dispose of the contents, please do so in our dedicated Chemical Disposal Point (CDP) area. We request that you use chemicals that do not contain formaldehyde, chlorine, bleach or any other corrosive/toxic chemical.

Communications:

We reserve the right to send emails unless advised otherwise. An ‘unsubscribe’ link is affixed to the bottom of every marketing email sent. Note that we will still have the right to send customers emails relating to reservations.
